How it works

Connect once. Every AI knows your business.

Apex reads the tools you already use, turns them into one organized memory of your business, and keeps it fresh about every 15 minutes. Claude, ChatGPT and Grok Bot answer from it. Here is exactly how.

The problem

Every AI you use starts from zero.

Claude doesn't know what you promised a client last Tuesday. ChatGPT doesn't know who owns onboarding. So you paste the same context in, over and over, and the answer is only as good as what you remembered to paste. Apex fixes the input, not the AI.

Without Apex

You copy an email thread, a call summary and a CRM note into a chat, explain who everyone is, and hope you didn't miss anything.

With Apex

You ask the question. Your AI pulls the right context from Apex itself, from every tool you connected, and answers.

The picture

Your tools in. Your AIs out. Apex in the middle.

Apex is the memory. Your AI is the one that thinks and does the work. Apex sits between the two and keeps the memory current.

Step by step

What happens, stage by stage.

  1. 1

    Connect your tools

You sign in and connect the tools your business already runs on: email, calendar, call notes, CRM, docs, accounting, Slack. Each one takes a few clicks, using the tool's own sign-in screen.

    • A few clicks per tool
    • Add or remove any time
    • Read-only access
  2. 2

Apex reads them, every ~15 minutes

The first build takes about 15 minutes. After that Apex goes back to every connected tool roughly every 15 minutes, which is 96 times a day, and picks up what changed. It is not a live feed, and it is not a once-a-day sync. Slack is the exception: it is searched live when your AI asks, and never stored.

    • First build: ~15 min
    • Refresh: ~every 15 min
    • 96 times a day

    Raw data becomes business memory

An inbox is not memory. Apex turns what it reads into clean records: the people you deal with, the companies and clients they belong to, the promises made in both directions, the decisions that were taken, and how people prefer to work.

    • People and companies
    • Promises and decisions
    • Preferences
  4. 4

    Stored per company, encrypted

Your brain is stored for your company only, behind a fence enforced by the database itself. It is encrypted at rest with AES-256, and the text of your email and documents gets a second layer of encryption with a key that belongs to your company alone.

    • AES-256 at rest
    • Per-company key
    • TLS 1.2+ in transit
  5. 5

    Your AI asks, Apex answers

Claude, ChatGPT and Grok Bot connect to Apex through MCP, the standard way AI apps read from other tools. When you ask a question, your AI asks Apex, and Apex hands back only the slice of context that question needs, not your whole inbox. Switch AIs whenever you like; the brain stays the same.

    • Claude · ChatGPT · Grok Bot
    • Over MCP
    • Only the slice it needs

You correct it, and it remembers

Tell your AI "remember that we never discount annual plans", "that's wrong, Sam owns onboarding now", or "forget that thread". The AI writes it into Apex, and every AI you use gets the corrected version from then on.

    • Remember
    • Correct
    • Forget
Worked example

One email becomes four things your AI knows.

Here is what Apex does with a single, ordinary email. The same happens to call notes, calendar invites, CRM updates and documents.

Gmail
Dana · Client BRe: Next steps · Tue 10:42
Example

Hi, confirming we'll go ahead with Phase 1 only for now. Could you send the invoice by Friday? Also, please loop in Sam for scheduling from here on. Tuesdays work best for our calls.

Person

Dana, your contact at Client B. Signs off on scope.

Decision

Client B chose Phase 1 only.

Promise

You owe Client B an invoice by Friday.

Preference

Scheduling goes through Sam. Calls on Tuesdays.

Later that week, in Claude: "What do I owe Client B, and when should we meet?"
Example

The Phase 1 invoice, due Friday. Book the next call on a Tuesday and send the invite to Sam, who handles their scheduling. Source: Dana's email, Tue 10:42.

Timing

The numbers that matter.

~15 minto build your brain the first time
~15 minbetween refreshes of every connected tool
96×refreshes a day, without you touching it
91connectors to choose from

Not real-time, not daily: about every 15 minutes. Slack is searched live when asked and never stored.

Clear limits

What Apex won't do.

Knowing the edges up front saves you a surprise later.

It doesn't act in your tools

Apex only reads. It never sends an email, moves a deal or edits a file. Your AI does the doing; Apex gives it the context to do it well.

It isn't live data

Apex is memory, refreshed about every 15 minutes. For a live number, like today's bank balance, use that tool's own connection to your AI.

It doesn't pick and choose inside a tool

Connect a tool and everything in it is used to build your brain. There is no per-email filter, so connect the tools you want in the brain.

It only connects to tools on the list

There are no custom connectors. That keeps the brain clean, and every connection is maintained by our team. Search your Stack to check yours.

Ready when you are.
